Take advantage of the “Early Bird” discount; ensure that your registration form together with your payment, are received in the office by Monday, September 26^th.

BC Fairs members who have registered by the Early Bird deadline will be entered for a chance to win your registration for free! Full registration forms and fees must be received in the office by September 26^th to qualify. The winner will be announced October 3^rd. A reimbursement cheque payable to the organization or individual who paid the registration fees ($268.80) will be presented to the winner during the conference.

One Day Only registration is also available. Attend either Friday or Saturday only for just $125.00 (+HST). This special one day rate includes the scheduled sessions for the selected day and lunch. Please be sure to circle which day you are planning to attend on the conference registration form.

Additional Evening Event Tickets are available for a guest who may be joining you after the day’s activities. Please ensure that you indicate on the conference registration form how many additional tickets you would like to order and for which evening. A guaranteed head count must be given to the hotel by October 17th.

 Friday Night we are celebrating the Magic of Fairs! The folks at North Thompson Fall Fair and Rodeo are our hosts and they have put together a fun filled evening! So pack your costume, we are expecting to see a wide variety of witches, wizards, pixies, ferries, genies or any other mystical creature you may think up. Qué Bolá Magic will be our special showcase entertainment.

 Saturday evening - President’s Banquet & Awards Presentations begins at 6:00pm, the Sun Peaks Resort chef is preparing a very special menu using all BC products! Dress is business casual.

Accommodations:

The Delta Sun Peaks Resort will hold a block of rooms for BC Fairs delegates until Tuesday, September 20^th, reservations made after this date are not guaranteed the group rate or room availability. The conference group rate for single/double standard rooms is $95.00/per day (+ taxes), upgrades are available. Commercial and associate members are encouraged to promote their business/organization during the annual conference through promotional space in the pre-function space of the conference area and/or by showcasing your talent either as a strolling act or on stage. Deadline for applications is Monday, October 3^rd.

BC Fairs strives to provide an informative and entertaining conference for the benefit of its delegates, while making every effort to maintain affordable registration fees. The Association’s goal is to present the annual conference on a break even budget. Please review the enclosed sponsorship information for an opportunity that may fit into your budget. Your contribution is greatly appreciated!

Live Auction & Silent Auction

Your generous donation to our Live and Silent Auctions helps to raise funds to offset the conference expenses. Please bring your items to the registration desk upon arrival. If you are not able to attend, but would like to donate an item, please send it to the BC Fairs office by Friday, October 14^th.

Annual General Meeting:

The Annual General Meeting of the BC Association of Agricultural Fairs and Exhibitions will be held on Saturday, October 22^nd at 8:30am in banquet room. AGM packages will be sent out on September 26^th, 2011. A limited number of AGM copies will be available at the registration desk, so please notify the office if you do not receive your AGM package before the conference!

Cancellation Policy:

Cancellation of your conference registration fees must be made in writing by either fax or email to the BC Fairs office. Refunds will be made based on the following:

Notice received prior to October 1^st: Full refund
Notice received October 1^st – 7^th: Less 15%
Notice received October 8^th – 14^th: Less 50%
No refunds will be granted after October 14^th.

Parking:

Complimentary parking is available at the Village daylot – a 2 minute walk from the hotel. Underground and above ground parking is currently available at $13.00/night for self-parking and $17.00/night for valet parking.

Getting to Sun Peaks:

The best, easiest, and most direct route to Sun Peaks Resort is via Highway 5, exiting at Tod Mountain Road by Heffley Creek, just north of Kamloops. Some GPS providers and Google Maps suggest an alternative dirt back road route off of Highway 1 near Pritchard and Chase. This route is not recommended for winter travel.

Airport / Car Rental / Airport Shuttle Information:

The nearest airport is Kamloops (YKA) approximately 45 minutes away from Delta Sun Peaks Resort.

All forms must be received in the office by 4:00pm on Monday, October 17^th

Award entries must be received at the conference registration desk by
10:00am on Friday, October 21^st to ensure that they are put on view for judging.
